The customer is Australia’s peak body for recreational aviation, responsible for managing thousands of pilot members, flight training schools, aircraft registrations, and safety reporting obligations. The organisation operates within a tightly regulated environment where safety data capture, member management, and compliance reporting are mission-critical functions – not administrative conveniences.
Managing these responsibilities for a national membership base demands digital infrastructure that is reliable, compliant, and built to aviation safety standards. When fragmented legacy systems could no longer support the organisation’s obligations, the customer turned to Raven Labs to build something worthy of the mission.
The Challenge: No Digital Infrastructure for a Safety-Critical Organisation
The customer came to Raven Labs facing a convergence of operational, compliance, and digital infrastructure challenges that had been compounding over years. The risks were not theoretical – they were active constraints on the organisation’s ability to serve its members and meet its regulatory obligations.
- No Centralised Safety Reporting. Aviation occurrences — accidents, incidents, hazards, defects, and complaints – were managed manually or through disconnected tools, creating compliance risk and incomplete reporting
- Fragmented Member Management. Member data lived in siloed legacy systems with no modern CRM. There was no self-service portal for members or flight instructors, forcing manual staff handling of common requests
- Strict Regulatory Requirements. Aviation safety reporting requires anonymous reporting capability, no member data auto-population, and careful identity validation — requirements that needed to be met by design, not workaround
- No Mobile Access. The customer had no mobile-accessible platform. Instructors and pilots needed on-the-go access to their records and reporting tools – especially in field settings away from desktop computers
- Zero Reporting Visibility. Leadership had no unified analytics layer. There were no live dashboards for member metrics, occurrence trends, or organisational performance reporting
The Solution: A Six-Module Integrated Digital Platform
Raven Labs delivered a comprehensive end-to-end digital transformation for the customer over an approximately eight-month engagement, with the core system entering User Acceptance Testing (UAT) . The scope was among the most complex Raven Labs has delivered – spanning safety systems, CRM, web portals, mobile apps, analytics, LMS integration, and telephony under a single coordinated delivery.

Key Implementation Highlights
Occurrence Management System (OMS) – A First of Its Kind Safety Platform
The OMS is a purpose-built web application enabling members to submit aviation safety reports — without requiring login or authentication for basic reporting. This design decision was not arbitrary; it directly addresses the regulatory expectation that safety reporting must be accessible and anonymous, encouraging more complete incident capture from pilots who might otherwise stay silent.
The system handles five distinct form types – Accident & Incident Reports, Hazard Reports (with geolocation and map integration), Defect Reports, Near Collision Reports, and Anonymous Complaints — each built with the specific data requirements and conditional logic of that report type. When a reportable occurrence is submitted, a single button triggers automated ATSB report generation and email dispatch, removing a previously manual, error-prone step from the safety team’s workflow.
Zoho CRM – One Source of Truth for All Member Data
The CRM implementation replaced a fragmented set of legacy records with a single, unified data hub. The full data migration was completed on 23 March 2026 – bringing all member records, instructor associations, aircraft registrations, and occurrence history into one consolidated platform. CRM-synced dropdown values across all OMS forms eliminate manual duplication and ensure data consistency at the point of capture.
Member Portal & Mobile App – Self-Service at Scale
The dual-access member portal and native mobile app give members and instructors on-demand access to their records, their occurrence history, and their reporting tools – eliminating the need to call or email the office for routine requests. The Auth0 authentication layer provides role-based access control, ensuring members and instructors see only what they need to see, with full security and audit capability.
